FRIENDS OF THE CRYSTAL LAKE LIBRARY
June 15, 2009 MINUTES
Present: Jeremy Stamp, Bob Finger, Jan Polep, Ann Wells, Nancy Dlugosz, Karen Migaldi, Carol Heisler, Elizabeth Puchmelter, Ranee Strawn and Barb Mullowney
The June minutes were passed out, read and approved as corrected.
President's Report: New incoming President Jan Polep called the meeting to order at 7:10 and stated that the goals of the friends should be first to have fun and second to make money!
Treasurer's Report: Beginning balance of $5833.60 as of May 30, Income: Tote Bag Sales $12.00, Membership Dues $100.00, Donations $5.00, Interest $2.35, Used Book Sale $30.25, Expenses: Postage $17.60, Insurance $797.00, Summer Reading Program $3000.00, Supplies $4.40, Ending Balance $2164.20.
Committee Reports:
Membership: New membership started May 1st and at this time we have 23 members. Currently we need new applications for memberships and it was suggested that applications should be made available on the FOCLL website and at the self check-outs at the Library. Carol requested new membership forms from Ann for the next Board meeting being held June 17th.
Shop & Share: Nancy reported a profit of $112.40 for March 31st through April 1st Shop & Share Days at Jewel.
Market Day: 36 orders were placed for June 13th's Market Day, 9 order forms were turned in to Nancy and the rest of the orders were placed on line. Nancy stated that a profit of $252.33 was made from the sale. Nancy suggested that bookmarks with Market Day Sale website information be made available when the order forms run out at the Library. A sign up sheet schedule to help for the July 18th and August 8th Market Days was passed around.
Library Director's Report: Karen informed us to date that 3,288 people have signed up for the "Read on the Wild Side!" Summer reading program. That is 69% of their goal of 4,780 participants. Registration is still open. Karen updated us about the re-design of Library's website. The general framework is done at this time and the programming is taking place now. The new website should be done around the middle of September. Karen will attend the ALA (American Library Association) 2009 Conference in Chicago at the McCormick Center July 9th through July 14th. She told us that she will look for information for "Friends" workshops while she is there. Karen informed us that July 29th is the deadline for the next newsletter.
Library Board Report: Carol told us that she attended a Staff Appreciation Luncheon held at the Ames Room June 5th in which 74 people were present. She mentioned that Barbara Walters who has been on the Library Board for 34 years has taken a leave of absence and will not be returning. New Board members will be appointed Wednesday June 17th at the Library's Ames Meeting Room. New members are appointed by the Mayor, Aaron Shepley.
Old Business:
The Scholastic Book Sale will take place June 22nd and June 23rd. Ranee Strawn has volunteered to co-chair the event with Beth Puchmelter. There will be forms available at the sale for anyone who wishes to dedicate a book purchased at the sale to be later donated to the Library. Signs have posted at the library announcing the sale. Beth has received the tool kit for the sale but a Scholastic Book Sale representative will not be available at the sale as they are on leave for the summer. Set up for the sale will be Saturday June 20th from 9-12. Ann will get the cash for the register. It was suggested that it might be helpful if volunteers were located throughout the Library on the days of the sale to make patrons aware of the sale.
New Business:
Jeremy asked if he could be reimbursed for having paid for the FOCLL's website for the last year. Jeremy wasn't sure of the monthly cost which was either $11.95 or $12.95. It was agreed that he would be reimbursed. It was discussed and agreed upon that the website should be transferred from Jeremy's name to FOCLL. Nancy suggested that we should find out how many hits our website actually gets, to see if it is necessary to keep the website viable. Many agreed that important information is made available on the FOCLL website.
The Mum Sale has been tentatively set for September 19th and Karen signed us up for use of the Ames room that day in case of rain. Ann is working on getting us a tax exempt letter which will be used when purchasing the mums. It was discussed that we should do what we did last year in regards to the Mum Sale- have the sale a week after the Johnny Appleseed Festival, time from 10-2, or earlier if we are ready ahead of time, order 500 mums and sell them For $10.00 each (wholesale last year for each mum was $4.25) or 3 for $25.00. We will consider raising the price if the actual cost of the mums has increased substantially. A special permit is required for the sale from the city which needs to be acquired prior to the sale. Advertising for the sale will include Beacon Newsletter, NW Herald, Craig's List, Public Access Channel, CLPD Marquee and possibly the CL Chamber Marquee. Barb will contact CL Chamber to find out dates for Johnny Appleseed Festival.
Meeting was adjourned at approximately 8:30.
Correction to the Minutes-
I stand corrected on the minutes for June 2009 regarding reimbursement to Jeremy Stamp for paying for the FOCLL website on a monthly basis for the past year. Last year he generously paid for the website and he is only asking to be reimbursed from this point (June 2009) or until billing can be transferred to FOCLL. I apologize for the misinformation given in the FOCLL June 2009 Minutes.
